The doors, the cues and the people, all on the same minute.

Staff scan passes on their phones, even when the venue Wi-Fi gives up. Seat lookups and arrival counts reach the right person, and the run of show keeps every producer, caterer and speaker on time.

The day goes wrong at the door.

A printed list, three ushers and a queue in the rain. Someone is admitted twice, a guest of honour waits behind forty people, and nobody can find table 14. Inside, the speeches start while dinner is still being plated, because the timings lived in one person’s head.

    How event day works

    What you get

    • Fast check-in on ordinary phones, with offline queues that sync
    • Duplicate scans caught and shown, never silently admitted
    • Live arrivals by door, function and session
    • A shared run of show with cues, owners and timing
    • Incident notes and handovers recorded for the debrief
    1. Prepare the devices

Enroll staff phones for specific doors and roles. Each device downloads only the guest details it needs, encrypted, before the doors open.

    2. Scan at every entrance

Scan QR passes in under a second. Repeat scans are flagged instead of admitted, and guests without a phone can be found by name.

    3. Keep working offline

If the connection drops, scanning continues and admissions queue on the device. When it reconnects, everything syncs and any conflicts are shown, never hidden.

    4. Route the right information

Find any guest by name at the door, and seat lookups answer the question every guest asks first.

    5. Run the show

The run of show lists every cue with its time, location and owner. Producers mark cues as done and the whole team sees what is next.

    Asked about Event-day operations

    Do I need special scanners?

No. Staff use the camera on ordinary phones or tablets. Each device is enrolled for your event and can be revoked remotely if it goes missing.

What happens if the venue loses internet?

Scanning continues. Each device stores admissions locally and syncs when the connection returns. Because disconnected devices cannot see each other, a pass scanned at two doors while offline is shown as a conflict for staff to resolve.

Can staff see guests’ private details?

Staff see only what their role needs: name, pass status, seat and relevant notes. Dietary and contact details stay hidden unless a role requires them.

Can I manage several entrances and sessions?

Yes. Assign devices to doors and sessions, set re-entry rules and watch arrivals for each in the live view.
